How we chose

We looked for chatbots a business would actually deploy for customer conversations, not internal writing assistants. Each tool had to meet four bars:

  • Grounded answers. It answers from your own knowledge (help articles, web pages, documents), not only from a general model.
  • A path to resolution. It either takes actions (order lookups, bookings, lead capture) or hands off cleanly to a human with context.
  • Published or clearly stated pricing. Where a vendor doesn't publish prices, we say so instead of guessing.
  • Realistic setup. A small team should be able to get it live without a months-long project, or we flag that it's an enterprise build.

What makes a good AI chatbot for business?

The difference between a chatbot that helps and one that annoys customers usually comes down to three things.

First, it knows your business. A good bot reads your policies, product pages, and help articles and answers from them, ideally citing where the answer came from. A bot that improvises from general knowledge will eventually invent a return policy you don't have.

If you're a small business, the "best" chatbot is the one that removes the most repetitive work for the least ongoing effort. A few practical rules:

  • Start with your top 20 questions. Put the answers in a help article or FAQ page, then point the bot at it. The bot is only as good as the content behind it.
  • Pick a predictable price. Per-resolution fees are fair in principle, but they make monthly costs hard to forecast. A flat plan with a clear reply allowance is easier to budget.
  • Make sure it can hand off. On a small team, the owner often is the escalation path. Check that handoffs arrive with the transcript attached and a notification by email or Slack.
  • Don't pay for channels you don't use. If your customers mostly email and use your website, you don't need a 35-channel platform.

  • Flat plans (Bund AI, Crisp, Chatbase, Botpress) charge a monthly fee with a usage allowance. Easy to budget, but check what counts as a unit: a reply, a message credit, or a conversation.
