How it's calculated

Cost per ticket
Cost per ticket = total support cost / tickets resolved
Total cost with AI
Blended total = total cost x (1 - AI share) + monthly AI tool cost
Blended cost per ticket
Blended cost per ticket = blended total / tickets resolved
Example: $10,000 over 2,000 tickets is $5.00 per ticket. With 50% handled by AI and a $500 tool, the blended total is $5,500 and the blended cost per ticket is $2.75.
Worked examples

Cost per ticket examples

Four scenarios, including one where an AI tool does not pay for itself.

Small team

Three agents plus a help desk subscription, one month.

$12,000 total support cost, 2,000 tickets resolved.

$12,000 / 2,000 = $6.00 per ticket.

With an AI agent

The same team, with AI handling half the volume.

$10,000 total cost, 2,000 tickets, 50% handled by AI, $500 a month for the AI tool.

Human cost falls to $10,000 x 50% = $5,000, plus $500 for the tool is $5,500. Blended cost per ticket is $5,500 / 2,000 = $2.75, down from $5.00.

Low volume, high cost

A specialist team handling complex tickets.

$20,000 total cost, 400 tickets.

$20,000 / 400 = $50 per ticket. At this cost per ticket, even a modest AI share on the simple questions can matter.

AI tool costs more than it saves

Very low volume with a flat monthly fee.

$600 total cost, 100 tickets, 20% handled by AI, $200 a month for the tool.

Human cost falls to $480, plus $200 for the tool is $680. That is $6.80 per ticket versus $6.00 today, so at this volume the fee outweighs the saving.

Interpreting the number

How to use your cost per ticket

Rules of thumb for measuring support cost honestly.

01

Count every cost, not just wages

Include agent pay and benefits, management time, help desk and tool licences, training, and a share of overhead. Leaving them out makes your cost per ticket look better than it is.

02

Use tickets resolved, not tickets opened

Reopens and abandoned tickets inflate the denominator and hide what a real resolution costs. Use the same period for cost and tickets.

03

Blend by channel and complexity if you can

Email, chat and phone cost different amounts, and so do simple and complex tickets. One average is a good start, but separate figures show where automation will help most.

04

Cost per ticket is not the only goal

A low number built on rushed answers raises repeat contacts and churn. Read it next to customer satisfaction, first response time and reopen rate.

FAQ

Questions people ask

How do you calculate cost per ticket?
Divide your total support cost for a period by the number of tickets resolved in the same period. If your team costs $12,000 a month and resolves 2,000 tickets, your cost per ticket is $6.00.
What costs should I include in total support cost?
Include agent salaries and benefits, team leads and managers, help desk and other software, training, outsourcing fees and a fair share of overhead like office space. Use the same period as your ticket count.
What is a good cost per ticket?
It varies widely with channel, industry and ticket complexity, so there is no single benchmark worth chasing. Track your own figure month by month and look for the tickets that drive it up.
How is the blended cost per ticket with AI calculated?
The calculator assumes the tickets an AI agent handles would have cost your average. Total cost after AI = total cost x (1 - AI share) + the monthly cost of the AI tool, and the blended cost per ticket is that figure divided by all tickets resolved.
Is the AI estimate a guarantee?
No. It is a simple model. The share an AI agent can resolve depends on how documented and repeatable your questions are, and the tickets it handles may be cheaper than average. Use it to compare scenarios, then measure real results.
Is anything I enter stored?
No. The calculator runs entirely in your browser. Nothing you type is sent to a server or saved.
